California DHCS

DHCS provides Californians with access to affordable, integrated, high-quality health care, including medical, dental, mental health, substance use treatment services and long-term care. DHCS funds health care services for more than 15.4 million Medi-Cal beneficiaries.

The Challenge

Five separate teams within the agency were using five separate time keeping applications, and each had different methods to track time. Their new Case Management application had a time tracking feature, however it required going into each case and entering separate hours for each day, which was cumbersome and time consuming.

The Solution

I designed a a time tracking system that allowed investigators, analysts, and managers to use a calendar system to add hours for each day by simply clicking on the day they wanted to add hours, search or enter in a case number, and add their time. The applications also allowed users to copy / clear a day, copy / clear a week to improve their workflow and cut down the amount of time needed to enter in separate entries and hours for the same cases.

The application also gave users a summary of their hours and cases for each day, each week, and a month summary to audit how many hours they entered. This resulted in a bit win for our team, and very happy clients.
